For ice bath and cold plunge operators

Ice bath and cold plunge booking software

A tub holds a handful of people and a dip lasts a few minutes. Pencilled lets you sell exactly that, in short timed sessions with a firm limit on numbers, and take payment before anyone gets near the water.

Small tubs need hard limits

Nobody wants to be the sixth person in a four-person tub.

Every session has its own capacity, and the count is kept for you. When the last place is taken the session shows as sold out and stops taking bookings, so nobody pays for a place that is not there.

Customers book by the person, not by the tub, which suits public sessions where strangers share. A group of friends can book up to four places in one go and arrive together.

Short dips and a turnaround you can count on

The gap between sessions is where the work happens.

Cold plunge sessions are brief, and the interval matters as much as the dip: water to check, ice to add, towels to swap. Set the session length and the gap once, choose your opening hours, and the generator lays the whole day out.

A morning of ten-minute dips with a five-minute gap is one form to fill in, not a spreadsheet. If the schedule changes on the day, edit or close individual sessions from the dashboard.

Collect a health declaration before the dip

Cold water is a risk for some people, so ask before they arrive.

Build the form in the dashboard and set it as the default for your events. Each person in a booking gets their own link, so every attendee answers for themselves, and you can see the number of completed forms next to each booking at check-in.

You decide what to ask and what to do with the answers. They can include health information, so they are kept until you delete them, and the privacy policy explains how they are handled: read the privacy policy.

Selling a plunge next to a sauna

Heat then cold is the whole point for plenty of customers.

If you run both, create one event for the sauna and one for the plunge, each with its own capacity and price, and let customers book either or both. Or set up a single session that covers the whole circuit at one price per person.

Either way the booking page stays simple: pick a time, say how many are coming, pay. Our page for sauna operators covers the sauna side.

Cancellations that fill themselves

Cold mornings mean the odd no-show.

When a booking is cancelled, or a hold runs out without payment, the places go back on the session and the next person on the waitlist is emailed. It is first come, first served: the email says a place has opened, and whoever books first gets it.

Customers pay before they arrive, so a booking is a commitment rather than a hopeful message.

    Someone starts to pay

2 of 4 places are held. 2 show as left.

  2. 2

    They pay within 15 minutes

The booking is confirmed and the ticket is emailed.

  3. 3

    Or they do not

The 2 places go back on the session and the waitlist is emailed.
